Terms & Conditions

Payment & Tickets
Trade stand holders must provide their own marquee or gazebo as required (except where booked within the Trade Table Marquee). The full
tender amount must be paid by 21st June 2026. Entrance tickets will not be issued until payment has been received. The pitch fee is non-
refundable except in the event of cancellation of the Southern District Agricultural Show. An exhibitor pack, including vehicle passes and
tickets, will be issued by 15th July.
Health & Safety
All trade stand holders must hold adequate Public Liability Insurance and provide a valid copy of certification. Exhibitors are responsible for
preventing injury or damage to any person or property on their stand and must provide adequate fire exits where applicable. A current risk
assessment, including fire risk, must be completed prior to the Show and be available for inspection. The Society may require completion of
a specific SDAS risk assessment form. Trade stands of 30ft or larger, or where risk warrants, are strongly recommended to have a suitable
fire extinguisher, which should be referenced in the risk assessment. The Southern District Agricultural Society accepts no liability for any
loss or damage to property whilst on the Showfield or in car parks. Refunds, where applicable, will be entirely at the discretion of the
Society. All traders must comply with relevant Isle of Man Trading Standards, Environmental Health, and Health & Safety legislation. All
required documentation — including hygiene certificates, gas and generator testing certificates (where applicable), alcohol licences, and risk
assessments — must be available for inspection. All generators must meet current standards; noisy generators will not be permitted.
Vehicle Movement
All vehicle drivers must drive slowly and carefully on the Showfield, not exceeding 5mph, and must show courtesy and consideration to
pedestrians and other exhibitors. Exhibitors must obey all traffic signage and instructions issued by Show Officials and traffic marshals.
Vehicles (except those forming part of a display) must be removed from the Showfield by 9.30am on Show days and will not be permitted to
re-enter until after 6.00pm. There must be no vehicular movement between 9.30am and 5.30pm without the express permission of the
Show Director or Health & Safety Officer. In the event of bad weather, vehicle movement may be restricted; pedestrian access will remain
available where safe to do so.
Pitch Allocation & Set-up
Trade stand spaces are allocated by the Show Supervisors, whose decision will be final. Bookings are for the allocated plot only and must
not be sublet. Exhibitors must visit the Showfield and locate their stand by 6.00pm on Friday evening (off-island traders arriving overnight
excepted). All trading activity must be conducted strictly within the confines of the allocated stand and not in walkways or avenues. Outside
trade stands may be set up from the Wednesday prior to the Show; the Trade Table Marquee may be accessed from Thursday. All units must
be fully in place by 8.00am on both show days.
The Show opens to the public at 9.30am, and all trade stands must be open, staffed, and trading by that time and remain open until at least
5.00pm. Stands may not be dismantled until after 6.00pm on Sunday. Livestock will be given priority when exiting the Showfield. All units,
equipment, and ground protection must be removed and the pitch restored within 48 hours of the Show closing unless otherwise agreed in
writing. In the event of bad weather, vehicle access may be restricted in the days before or after the Show. Pedestrian access will remain
available.
Security
Volunteer night watchmen will be present on the Showfield on the nights of Friday, Saturday, and Sunday. However, the Society cannot
accept responsibility for any loss or damage to items left on the Showfield at any time. Caterers are advised to remove or securely store
property overnight and take appropriate precautions. Anyone intending to stay overnight on the Showfield must inform the Secretary at
least 24 hours in advance and be mindful of others. Loud music or disturbance is not permitted between 9.00pm and 6.00am.
Waste Management & Environmental Responsibility
Wheelie bins on the Showfield are for public use only and must not be used for trade waste. All trade waste must be removed from site or
deposited in the large skip provided. Food waste must not be left in open skips.
Exhibitors must provide suitable litter receptacles on their stand and help keep the Showfield clean and attractive. Biodegradable and
recyclable packaging is strongly encouraged, and single-use plastics should be avoided wherever possible.
Non-Resident Traders
Non-resident traders may be required to obtain an Isle of Man licence to trade. Application forms are available from the Isle of Man
Government website (www.gov.im). Copies of licences must be submitted with application forms.
Equipment & Power
Trade stand holders must provide all necessary equipment, including (but not limited to) marquees, gazebos, tables, chairs, waste bins, and
power supply. All equipment is brought onto the Showfield entirely at the caterer’s own risk.
Food, Drink & Alcohol
The Society reserves the right to sell or control refreshments on the Showfield. Trade exhibitors must not sell food or drink for consumption
on the Showfield. Complimentary hospitality may be limited to tea, coffee, soft drinks, and biscuits only.
Exhibitors selling or offering samples of alcoholic beverages must hold the appropriate licence in accordance with the Licensing Act.
Communications
By accepting a trade stand, exhibitors agree to be contacted by the Southern District Agricultural Society regarding Show updates and
information via email, telephone, and WhatsApp. Contact details may also be shared with Manx Radio, Energy FM, and Isle of Man
Newspapers for advertising opportunities relating to the Show.
Admission
Complimentary admission is allocated as advised in exhibitor information. All persons entering the Showfield, including trade stand staff,
must display the appropriate SDAS wristband, surrender a valid admission ticket, or pay the admission charge at the gate. Additional
wristbands for staff may be purchased at the advertised rate and are non-refundable.
Cancellation / Withdrawal by Trader
If a trade stand holder withdraws after acceptance, the Society reserves the right to retain all or part of the fee and to reallocate the pitch.
Any exhibitor failing to comply with these regulations, or with instructions issued by Show Officials, may be required to leave the Showfield
immediately without refund. All exhibitors are subject at all times to the authority of officials appointed by the Southern District Agricultural
Society.
Branding & Signage
All signage, pricing, and branding must be appropriate for a family-friendly agricultural show and comply with Trading Standards
requirements. Caterers must conduct themselves professionally and be considerate to other exhibitors and visitors at all times.
Lotteries, Raffles & Promotions
Lottery tickets, raffles, tombola’s, or similar activities may not be operated unless prior written approval has been obtained from the Society
and all relevant legislation is complied with.
Prohibited Items
Balloons, silly string, sky lanterns, aerosols, or similar items are strictly prohibited on the Showfield due to risks to livestock, the
environment, and public safety.
Flyers & Promotional Material
The distribution of flyers is limited to the exhibitor’s stand only. Flyers must not be distributed around the Showfield or car parks. A £50.00
